Request for Proposal for OCCBIO 2008 Host Site Selection

Request for Proposal (RFP)

  • The purpose of this simple RFP is to facilitate the selection of a conference host site in a region of Ohio that will best serve the OCCBIO conference in 2008. Exact conference dates are TBD.
  • The OCCBIO conference chairs have agreed to these guidelines and requirements to facilitate the selection process.  
  • Ohio institutions of higher learning that wish to host the OCCBIO conference are invited to respond.
  • Joint proposals representing a specific region of Ohio and jointly submitted by two or more Ohio organizations will also be accepted for consideration and are encouraged.
  • For the purpose of this RFP process Ohio regions shall be recognized as North West, North East, Central, and South West.  

Requirements
Each RFP response must include a letter of intent submitted with a proposal. Both documents should provide clear and compelling information that will help the conference chairs understand why a proposed host site will best serve the OCCBIO conference in 2008.

Important points to address in the body of a response to this RFP include:

  • Why should OCCBIO 2008 be hosted by the submitter’s organization?
  • Who would serve as the conference chair and do they have conference experience?
  • Include a short bio for the suggested conference chair in the proposal.
  • Describe the physical infrastructure available to support the conference.
  • How would the fiscal responsibilities be addressed by the host organization?
  • Describe local arrangements resources and supporting departments.
  • The proposal must confirm that it has the support of the submitting organization’s Research and Computer Science departments or include equivalent official authorization.
  • The submitting organization must agree, in the body of the proposal, to respect the need for negotiation during conference planning and to accept the outcome of votes among the conference chairs during planning and execution of the conference.
  • Each response to the RFP must confirm active participation in the planning and/or execution of OCCBIO 2007 (by at least one of the parties submitting a proposal) since it is a prerequisite for being considered as a possible host site for OCCBIO 2008.
  • In the event that a proposal is submitted as a collaborative effort by two or more organizations within a specific Ohio region, then the aforementioned applies and the collaborative relationships and individual roles must be clearly defined.
  • The proposal must confirm that all parties accept and understand that OCCBIO founding chairs shall retain the option to participate as conference co-chairs in collaboration with the conference chair(s) of the 2008 OCCBIO conference.
  • The letter of intent should not exceed (1) page.
  • The proposal section of the response to the RFP should not exceed (5) pages.

Proposal Review and Selection Process
Proposal submissions will be reviewed by the 2007 OCCBIO conference chairs. Proposals that meet the RFP submission requirements will be evaluated and voted on by the conference chairs.
